How it works

How a job moves through Leam.

One record, the whole way. The enquiry you take in January is the job you deliver in March and the client you invoice in June. Nothing retyped, nothing lost in the gap between two tools.

A client books time with you

You have a link for your email signature or your website. They open it, see when you are free and pick a time, so nobody swaps six messages to arrange it.

Leam emails them the confirmation and adds them to your enquiries.

You keep track of where it stands

Move them from a first conversation to a quote sent, and on to work won, noting what the job is worth and when to follow up. Every enquiry you have ever taken sits in the same list.

They say yes, and become a client

Send the short form you wrote once, asking for the details you always need.

Their answers become a client file with everything already filled in, so you never retype it.

You do the work

The job gets its own tasks, deadlines and progress. Set how many rounds of changes are included, and when a client asks for a seventh you can see it is beyond what was agreed and charge for it.

You send the invoice

Built from the job you just did, with VAT worked out and your details on it.

If it goes past due, Leam sends the reminder. Anything you bill monthly goes out on its own.

They need help afterwards

Rather than a message lost in your inbox, they use a link that turns the request into a numbered job in your list, and they get a reply confirming it reached you.

Tick it off and Leam emails them to say it is done, with your note on what you sorted out.

When one client is always late paying, or a kind of job always runs past its revisions, Leam tells you, once it has seen it often enough to be sure.

Trust and your data

Built to be trusted with your business.

Leam holds your clients, your pricing and your money. Every protection below is written into the code that runs each request, not into a policy that describes an intention.

Your work is sealed off

Every agency has its own space, and the separation is applied on every single read the system makes rather than trusted to a setting. Your clients, your rates and your numbers cannot be reached from anybody else’s account.

The irreversible stays in your hands

The assistant reads, drafts and prepares. Anything you could not take back — removing an invoice, rewriting history, closing an account — stays with you, and closing an account asks you to type it out yourself.

Your banking details are locked away

Encrypted where they rest, and kept out of the assistant, the logs, the PDFs and the error messages. They are held for one purpose, and nothing else in the system can read them.

Hosted in the EU

Database and storage on Supabase in Ireland, hosting on Render in Frankfurt. Not routed through the United States, and the full list of sub-processors is published.

A named Information Officer

POPIA requires one. Ours is Tiro Mathe, registered with the South African Information Regulator, with a PAIA manual and a POPIA notice published in full.

Nothing leaves without your say-so

An invoice, an email, a notification: anything that goes out to your client is shown to you first and sent when you agree. That decision is never left to the model.

Your records answer to you

Ask for a copy, a correction or a deletion and it is handled inside the product rather than in somebody’s inbox, with a record of what was sent and when it went.

There is no certificate to hold for POPIA, so what follows is the paperwork itself: the privacy notice, the terms, the POPIA notice, the GDPR notice, the PAIA manual, the cookie notice and every sub-processor we use.

What is Leam HQ?

One system holding your enquiries, bookings, clients, jobs, invoices and client requests, with an assistant that tells you where things stand and does the work when you ask.

Do I have to use all of it?

No. Plenty of businesses start with one part, whether that is quotes and invoices or the jobs they have on, and add the rest as they need it.

How is it different from a CRM?

A CRM tracks the sale and stops there. Leam carries the same record through delivery, invoicing and the support that follows, so the enquiry you take in January is the job you invoice in March and the client you look after in June.

Can I trust the numbers it gives me?

Every figure is counted from what is actually in your business at the moment you ask, rather than remembered from earlier or estimated. When a question falls outside what Leam keeps, it tells you so instead of offering a number that merely looks right.

Can the assistant email my clients on its own?

Not on its own. Anything leaving your business — an invoice, an email, a notification — is shown to you first and goes only once you agree. That decision is never left to the model.

Can it delete my data?

No. Anything you could not take back stays with you: removing an invoice, rewriting audit history and cancelling a subscription sit outside what the assistant is allowed to reach, and closing an account or a workspace asks you to type it out yourself.

Where is my data kept?

Your business is kept separate from every other business on Leam. The database and storage sit on Supabase in Ireland, with hosting on Render in Frankfurt, and the full list of sub-processors is published on our site.
